2 Phase 2: Canvas Structure
Create zones for each content stage: Ideation → Assigned → In Progress → Review → Scheduled → Published
Add milestone cards for key dates: product launches, seasonal events, campaign starts
Create cards for the next 4 weeks of planned content with titles, channels, and assignees
Draw dependency connectors where content feeds other content (blog post → social snippets → email summary)
Color-code cards by channel: blue for blog, green for social, purple for email, orange for video
3 Phase 3: Workflow & Roles
Assign clear ownership: who writes, who designs, who reviews, who publishes
Set SLAs for each stage: writing (3 days), design (2 days), review (1 day)
Create a review workflow: writer → editor → designer → creative director → schedule
Add a "Blocked" status for cards waiting on external input (client approval, data, assets)
Use AI Copilot to generate content briefs from topic cards — paste the brief into the card notes
4 Phase 4: Launch & Optimization
Run Health Check weekly to see what percentage of content hit its scheduled date
Track cards that stayed in "Review" for more than 2 days — these are workflow bottlenecks
At month end, run Executive Snapshot to compare planned vs. published content
Archive the monthly canvas as a snapshot for performance comparison
Adjust publishing frequency or team assignments based on actual throughput data
